Job Description

SUMMARY
 
Manages and provides detailed administrative support to the President and CEO in support of Executive Office operations. Serve as a liaison between Executive Office and internal executive staff. Perform all duties with the utmost discretion and confidentiality.  Authorized to make most day to day decisions required by the position independently and without further approvals.

MAJOR RESPONSIBILITY
  • Manages and performs detailed administrative duties regarding all aspects of the work required in support of the position, including maintaining and coordinating travel schedules, meetings and daily schedules, various tasks assigned by executive coordinators as required, act as liaison between the President and CEO and executive staff on various administrative matters, maintain confidential filing system, develop tracking reports to monitor assigned projects, process all expense reports, serve as a liaison between Kia Motors Corporation (KMC) and Kia Motors America (KMA) on various administrative matters.  Authorized to make most day to day decisions required by the position independently and without further approvals.
  • Perform various ad hoc duties as assigned by the President and CEO which may include, but not limited to, leading and coordinating various visits from key executives from Hyundai Motor Group (HMG), including developing plans and logistical arrangements using professional judgment and discretion, preparing communications to external customers/entities with minimal to no direction, coordinating executive dinners, including all logistical arrangements and assisting other internal KMA offices with various Corporate Social Responsibility initiatives when time permits.
  • Review responses, correspondence, speeches and remarks prepared for the President and CEO for accuracy and appropriateness with both President and CEO and Corporate Communication staff, and provide editorial direction, input, and changes on behalf of the President and CEO; monitor news daily and brief the CEO on market conditions and environment, automotive industry, and U.S. and global economic indicators, consumer trends, and major social and political issues; collaborate with the Consumer Affair (C/A) and Warranty division to ensure the President and CEO is informed of major safety issues reported by Kia consumers, and communicate with C/A team members to quickly address/respond to issues.
  • Track executive budget and work with Finance on budgetary issues, using professional judgment and discretion in resolving issues.
JOB REQUIREMENTS
 
Education:
  • Bachelor’s degree or equivalent work experience required. 
Overall Related Experience:
  • 2+ years’ experience supporting a C-Suite Executive highly preferred.
Directly Related Experience:
  • Bilingual in Korean required
  • Administrative duties with a focus on attention to detail and organization skills.
                       
SKILLS
  • Extremely strong organizational, analytical and interpersonal skills and the ability to interact with a wide range of executive audiences and clients.
  • Excellent communication skills required (written and oral). 
  • Knowledge of project planning preferred. 
  • Proficient in MS Office, including Word, Excel, PowerPoint and Outlook.
  • Practical administrative skills.
  • Ability to multi-task, juggle competing demands, prioritize and work with other team members at all levels within the company, especially executive levels.
  • Ability to maintain the utmost confidentiality on all matters with the Executive Office.
